Our client, one of the most trusted and dependable accounting firms located in Midtown Toronto, is looking for an Administrative and Accounting Assistant. The ideal candidate must be a fast learner with a flexible attitude. Must possess excellent communication and interpersonal skills.
Responsibilities include (but are not limited to):
Support Senior Management in carrying out the administrative responsibilities
Utilize software for word processing, spreadsheets, and in preparing various documents
Answer phone calls, provide information to callers, or connect callers to appropriate people
Develop and maintain a filing system, setting up clients, and maintain client database in the Firm
Act as the point of contact between the partners and clients, banks, government, lawyers, etc.
Greet and provide general support to visitors and office staff
Set up, review, and revise financial records using softwares to meet appropriate deadlines
Prepare final packages for client delivery
Input trial balances and ensure appropriate correspondence is filed in the system
Follow up with clients on outstanding documents to be returned to finalize the process
Maintain and update monthly stats and other tracking systems
Calendar management of our partners, team members and clients
Assist with the preparation of business presentations and scheduling
Draft correspondence; respond to client requests and inquiries.
Perform basic accounting tasks such as expenses, invoicing, accounts receivable, bookkeeping external and internal, etc.
Prepare and/or edit internal and external letters, faxes, memos, and mass emails
Carry out other tasks related to accounting, finance, or admin that may be assigned from time to time
3-5 years of experience in an administrative capacity
Proficiency in Microsoft Word, Excel, and PowerPoint; Knowledge of QuickBooks, Taxprep, or ProFile is an asset
Capable of working in a fast-paced environment with tight deadlines
Must be willing to work overtime and be available for long hours during tax season
Very accurate with keen attention to detail
Has good attendance and punctuality record
Independent worker and effective team player with excellent verbal and written communication skills
Able to type 40+ WPM
