Administrative/ Accounting Assistant

Our client, one of the most trusted and dependable accounting firms located in Midtown Toronto, is looking for an Administrative and Accounting Assistant. The ideal candidate must be a fast learner with a flexible attitude.

 

Responsibilities include (but are not limited to):

 

  • Support Senior Management in carrying out administrative responsibilities
  • Utilize software for word processing, spreadsheets, and preparation of various documents
  • Answer phones and provide information to callers or connect them to appropriate people
  • Develop and maintain a filing system; set up clients and maintain the Firm’s client database
  • Act as the point of contact between the partners and clients, banks, government, lawyers, etc.
  • Greet and provide general support to visitors and office staff
  • Setting up, reviewing, and revising financial records using software to meet appropriate deadlines
  • Prepare final packages for client delivery
  • Input trial balances and ensure appropriate correspondence is filed in the system
  • Follow up with clients on outstanding documents to be returned to finalize the process
  • Maintain and update monthly stats and other tracking systems
  • Calendar management of our partners, team members, and clients
  • Assist with the preparation of business presentations and scheduling
  • Draft correspondence and respond to client requests and inquiries
  • Perform basic accounting tasks such as expenses, invoicing, accounts receivable, external and internal bookkeeping, etc.
  • Prepare and/or edit internal and external letters, faxes, memos and mass emails
  • Carry out other tasks related to accounting, finance, or admin that may be assigned from time to time

 

Requirements:

  • 3-5 years of experience in Administrative capacity
  • Proficiency in Microsoft Word, Excel and PowerPoint; knowledge of QuickBooks, Taxprep or ProFile is an asset
  • Capable of working in a fast-paced environment with tight deadlines
  • Must be willing to work overtime and be available for long hours during tax season
  • Very accurate with keen attention to detail
  • Has good attendance and punctuality record
  • Independent worker and effective team player with excellent verbal and written communication skills
  • Able to type 40+ WPM

 

Schedule:

Job Type: Full-Time

Salary: $60, 000 – $65, 000 (Based on experience)
